Why Your Email Address Matters More Than You Think
If you're using a personal Gmail, a BT internet address, or a free webmail account for your business enquiries, you're leaving a small but real impression on every person who contacts you or receives a quote from you.
It doesn't look untrustworthy exactly — but it doesn't look like a proper business either. An address like mike.plumbing73@gmail.com tells customers you haven't quite set things up. An address like mike@mikesjmplumbing.co.uk says you have.
It's a small thing, but first impressions compound. When someone is comparing two quotes and everything else is roughly equal, these signals matter.
What Google Workspace Is
Google Workspace is Google's paid business email product. You get Gmail — the interface most people already know — but running at your own domain instead of @gmail.com.
Under the hood it's the same: access on any device, reliable spam filtering, 24/7 availability, and all the Google apps (Calendar, Drive, Meet, Docs) included. The difference is it's tied to your business domain, it's an account you fully own, and it comes with better admin tools and storage.
The Three Tiers
Google offers three main Workspace tiers for small businesses. Here's what each includes:
Business Starter — around £5.50/user/month
- Professional email at your domain
- 30GB storage per user (email, Drive, and Google Photos)
- Video calls (Google Meet) for up to 100 participants
- Google Calendar, Docs, Sheets, Slides
- This is what most tradespeople need.
Business Standard — around £11/user/month
- Everything in Starter, plus:
- 2TB storage per user
- Meet recordings saved to Drive
- Video calls for up to 150 participants
- Worth it if you're sharing large files regularly (site photos, contracts, drawings) or running video calls with clients.
Business Plus — around £17/user/month
- Everything in Standard, plus:
- 5TB storage per user
- Meet for up to 500 participants
- eDiscovery and audit tools (mainly relevant for larger organisations with compliance requirements)
- Most tradespeople won't need this tier.
For a sole trader or small team, Business Starter does everything you need.
What It Was Like Before
Most tradespeople I talk to are using one of three things for business email: a personal Gmail they've had for years, a BT or Sky email that came with their broadband, or nothing (they just use their phone number for everything).
Personal Gmail works, but your address is mixed up with personal life, your storage is capped unless you pay, and it doesn't look like a business. BT and Sky emails are tied to your broadband contract — if you ever switch provider, you potentially lose the address. And phone-only means you have no written trail for quotes, job confirmations, or disputes.
A Google Workspace account at your own domain solves all of these. It's permanent (tied to your domain, not a broadband contract), it's professional, and it keeps work and personal life separate.
