Molly runs Sanctuary Ida, a yoga school with classes at multiple locations. Managing bookings manually — by text, by email, by phone — is manageable when you're starting out, but it creates friction for students and admin overhead for the instructor. As the school grew, a better system was needed.

The Challenge

Yoga classes have a capacity limit. If ten students can attend a class and twelve try to book, two of them will be disappointed — and if you find out after the fact, you have to go back and manage the situation manually. A booking system that doesn't handle capacity automatically is barely better than no system at all.

There was also the location dimension. Sanctuary Ida runs classes at different venues, and students need to know where each class is held before they commit to booking. A Google Maps integration that shows class locations removes the need for a separate email or phone call just to confirm the address.

The Solution

I built Sanctuary Ida's booking system on WooCommerce with a class booking plugin, giving the site proper event management with capacity controls built in. Each class is set up with its location, time, and maximum number of attendees. When a class fills, it shows as fully booked and no further reservations can be made — automatically, without any intervention from Molly.

Payment is taken at the point of booking, so students commit when they reserve their spot and Molly isn't chasing payment separately. A calendar view in the management area gives her a clear picture of upcoming classes and who's attending each one.

Google Maps integration on each class page shows the venue location, so students have everything they need before they book. No separate email asking for the address.

The architecture was also built with the next stage in mind. The platform is ready to expand into private one-to-one bookings, complementary therapy sessions, and online video classes — all of which can be added to the same booking system as the school grows.

The Results

Students now book and pay for classes directly on the website, at any time of day. The capacity controls have eliminated the overbooking problem. The calendar gives Molly a clear view of her schedule without spreadsheets or a notebook.

The practical improvement is straightforward: less admin for the instructor, less friction for the student, and no double-bookings. For a yoga school, that frees up time and headspace that's better spent on teaching.
